In the template, you can add new leads at the click of a button, and automatically get fresh data of your leads with just one click too. The data enrichment feature is powered by Sapiengraph (more on this later) which is a paid product, but it is optional and you can use the rest of the features in the Google Sheet for free.

Can’t wait to get started?

I've got a video tutorial on the Sapiengraph YouTube Channel for all you visual learners out there.

But if you're more of a reader, continue for the deep dive on each feature of this lead tracker template.

Features of the Ultimate Lead Tracker Sheets Template

Before we get started, here’s the list of features you’ll see in the template.

  1. Add new lead to your tracker in one click
  2. Enrich your leads with data such as location, company, role with one click
  3. Track and follow up with leads with the largest deal potential
  4. Track monthly targets and annual targets

And more.

The first two features are arguably the most exciting and important features of this demo template.

Now, let’s dive in.

Step-by-step guide for the Ultimate Lead Tracker Sheets Template

There are three things that needed to be done first to get the lead tracker Sheets ready and running.

First, go to this Sheet here:

1. Make a copy of the template to make it yours

As with any Google Sheets template out there, you gotta make a copy of it to be able to edit/use it fully.

Simply go to File, then Make a copy.

That’s it.

2. Grant permission to App Scripts so that the buttons work

There are two automation buttons in the template that run on App Scripts (equivalent of coding in Google Sheets term):

To give permission, click the first ”Add to Lead Tracker” button.

A pop-up dialog will appear prompting you to grant permission. During the first use, it might take 10-30 seconds for the dialog box to appear. If it doesn’t yet, click the button again until the authorization pop-up dialog appears.

Click “OK” to authorize the App Scripts, and the buttons will work as intended now.

3. Sign up and install Sapiengraph for your lead tracker

Sapiengraph - a Google Sheets data enrichment tool - powers the lead enrichment feature of the Sheets. This feature is found in the Lead Tracker sheet.

First sign up for a Sapiengraph account, and then follow the prompts to install:

  1. Google Sheets Add-on and
  2. Browser extension

You can also follow the steps in this installation Getting Started Guide.

After installing both items above, head back to the lead tracker Sheets template, and launch Sapiengraph for data enrichment later: Extensions → Sapiengraph → Launch Sapiengraph

Now, let’s start using this lead tracker sheet with real leads

Adding a new lead

When you first open up the lead tracker Sheets template, you’ll see the “Add New Lead” sheet, with a form in the middle where you key in information about your lead.

Here we have a new lead - Bill Gates with some of his information. Email and phone number (left blank) can be retrieved separately and magically using Sapiengraph. More on this later.

Once you’ve keyed in whatever information that you have about a new lead, click the “Add to Lead Tracker” button and that new lead will be added to the lead tracker automatically.

P.S. it is ok even if you leave the first name and last name blank, as long as you have the LinkedIn profile URL, you can retrieve this information with the others using the Sheets’ enrichment feature.

Now all your leads are added here automatically

Bill Gates is now your lead and you can track your follow-up progress with him. As with other new leads added. Here, you’re looking at the “Lead Tracker” sheet.

This part is straightforward, but the fun part is what’s next.

Start enriching your leads with more data

âť—
Note: any enrichment done using Sapiengraph will consume credits. See our formula guide to see credit costs for the formulas. You start with 100 free credits when you sign up for a new account.

In the same “Lead Tracker” sheet, there are a few information about your leads that can be enriched, all denoted by ”can be enriched” in row 7, specifically these, with links to the respective formula guide:

Here’s the list of the data with links to the respective formula guide:

All you need to do is to choose which leads you want enriched in column B, and then click the “Enrich” button at the top of the column.

And witness the magic happen:

Now you know Bill Gates’ emails and where he’s based at.

Track the progress of your leads on a macro level

There are a few sections in the “Pipeline Overview” sheet, let’s go through it one-by-one.

  • 1 - Targets: here you can key in the monthly and annual targets in the table on the left, and the “Deals closed” module on the right will automatically track your deals and gaps to your targets.
  • 2 - Best leads to work on: there are two modules here, ”High potential deals” showing leads that have the highest deal amounts, and ”Low hanging fruit” showing leads that have been added the longest, and thus most warm.
  • 3 - Overview - this module gives a glance of how many leads there are and their respective follow-up stage, and the total deal amount for each stage.

Voila! Now you can track the founder of Microsoft, CEO of Amazon, founder of Hootsuite and more with this Ultimate Lead Tracker Sheets template.

Nothing beats really trying it out with your very own real leads. Go ahead!

Sheets-based templates vs pre-built dashboards

So what’s the deal with this Google Sheets template? Is it really any good?

There are some common complaints of Sheets-based lead tracking templates vs pre-built lead dashboards, with the main one being the inability of Google Sheets to do automated email follow-ups and lead funneling.

Well, you’d be surprised that you can actually do that, and so much more. Case in point, there are even whole e-sport world championships for Excel where people do out-of-the-world things in Excel/Sheets.

The basis of this misconception is then not about the limitations of Google Sheets, but our lack of knowledge. The way we use Google Sheets, commonly covers only the usual basic features. But Sheets is actually a much more powerful tool than most people think.

And it’s entirely free!

What can beat that? A really free and really powerful tool at your disposal. There are a whooping 571 functions and formulas to literally do whatever you want. The bottleneck is really our lack of knowledge of these functions. See it for yourself.

Sheets is incredibly flexible and customizable

You can do whatever you want when the leads are inside your Google Sheets lead tracking template. Create new tags, edit contact info, add a remarks column, you name it. This is unlike the pre-built dashboards by software companies where you’re stuck using their interface.

This is why these software companies usually charge you for exporting data outside of their ecosystem and into Google Sheets. Because many people want to do just that due to Sheets’ high level of flexibility.

Scale up and down easily with Sheets

If your team and business grow, you can expand your Sheets alongside it. If you’re starting a new project, nothing beats working in Google Sheets. You can duplicate a Sheets for others in your team to use, share access to a Sheets easily - be it view access or edit access, you can lock certain cells, grant permissions only to certain stakeholders. All said and done, it is a really holistic and powerful tool for any stage and type of work.

So, who is this lead tracking template for?

We built this template with sales teams in mind. As long as your job involves tracking leads, tracking deals, timelines, this template will boost your workflow no matter what industry of sales you’re in:

  • Bank sales: track your customers and the best financial products for them such as loans, investments, savings
  • Car sales: identify and funnel leads based on their preferences and needs for the type of car and financing requirement
  • Real estate sales: filter clients based on locations, transaction sizes and give advice on buying, selling or renting properties
  • SaaS sales: automate your sales workflow by identifying the ideal leads and do outreaches based on the personalized info
  • B2B sales: Categorize leads, build relationships, deliver tailored solutions for your products and services and close deals faster

And more.
